[BIC-announce] 3T MRI Booking and Cancellation

Dear MRI users,

Many users have approached me with concerns over difficulties in
reserving 3T MRI time over the last six months. We understand that
getting patients, research staff, and MRI time to align can be
challenging but I wanted to reiterate a few points regarding our booking
and cancellation policy.

As indicated on the BIC web site, scans can be cancelled with no penalty
up to seven days prior to the reservation. If cancellations are made
within the 7 day window, BIC staff will re-open the slot on the calendar
and the original reserver will only be charged for any time not
ultimately used.

Beyond this rule, I'd like to highlight the following practices that
we'd like to encourage:

1) scan time reservations should only be made when you really intend to
use the slot

2) tentative scan time booking should be avoided when possible

3) pre-emptive booking of more time than is needed, for no other
purpose than 'protecting' time, may result in sanctions (admin fees;
restriction of scanning privileges)

We are doing our best to increase access to 3T services, and will be
sending out a brief survey on user needs in the next week.

Thank you for your cooperation in this matter,

Rick
